Panel Coordinator [Volunteer Position]

Job Summary

GeekGirlCon is seeking a detail-oriented and motivated individual to join our team as a Panel Coordinator. This role will provide essential support to the Panel Program Manager and contribute to the seamless execution of panel programming at our events. The Panel Coordinator will work closely with the Panel Program Manager, panelists, and other teams to ensure the success of panels that align with GeekGirlCon's mission and values.

Responsibilities

  • Collaborate with the Panel Program Manager to review panel submissions and assist in the selection process
  • Coordinates with panelists, presenters, and moderators to gather all information required for web and print materials
  • Communicate effectively with panelists regarding scheduling, preparation, and any logistical details
  • Maintain shared documentation for panel schedules, panel copy, and confirmed panelists
  • Works with the Programming team to ensure the website is kept up-to-date with panelist and presenter information

  • Strong organizational and multitasking skills
  • Ability to self-manage and problem solve
  • Excellent communication and interpersonal skills
  • Ability to work with a team efficiently to meet deadlines
  • Ability to promptly respond to emails, given the time-sensitive nature of many tasks
  • Competence with G-Suite tools 
  • Ability to attend all days of the convention (Friday set-up, Saturday and Sunday con days, usually in October or November)

What It Means to Volunteer as GeekGirlCon Staff

  • GeekGirlCon staff positions are all volunteer, non-paid positions.
  • Attendance remotely (or in-person, during non-pandemic times) for staff and departmental meetings is required.
  • Must maintain prompt and professional correspondence.
  • Most work is conducted over email and with in-person meetings in the Seattle area.
  • Between 8-10 hours per week of work is required for this role (including meetings, etc).
  • The staff is a team of highly dedicated, geeky, and passionate volunteers; it’s a lot of hard work, but an amazing experience with lots of opportunity to help build GeekGirlCon for the future!
